Why Administrative Personnel Are the Glue That Holds an Office Together

Working in an administrative role can sometimes feel like grunt work, but just because it’s not higher – level work for the organization doesn't mean it's not important. In fact, administration is what keeps the workplace running efficiently – without someone devoted to it, tasks can fall through the cracks and negatively impact the entire organization, from customer service to employee satisfaction. Here's why the administrative personnel are the glue that holds an office together:

Handle Day-to-Day Needs

From answering phones to sending packages and sorting mail to making travel arrangements for executives, there are so many seemingly small tasks required to run a workplace. The time spent performing these tasks truly adds up, and often they are more complicated than they seem. Administrative personnel take care of these day-to-day needs and keeps the office running.

Possess Institutional Knowledge

Administrative personnel are truly the eyes and ears of the workplace. They are familiar with an organization's various processes, policies, deadlines, recurring events and more. If an employee has a question, chances are administrative personnel will either know the answer or know how to quickly research and find it out.

Facilitates Productivity

One of the areas in which administrative personnel adds value to an organization is by taking care of tasks on behalf of leadership, which allows them to focus more on higher-level duties. This, in turn, makes the organization more productive overall. Since executives aren't using their time on administrative tasks, they can apply their time to brainstorming and implementing new ideas or pursuing revenue generation activities.

Represents the Organization

Administrative personnel generally function as the first point of contact for an organization. When a client or customer reaches out, they will more often than not be dealing with a receptionist or administrative assistant first. As such, administrative personnel represent the organization, since their interactions with others may shape public opinion and affect company branding. Without them, inquiries may not be responded to as quickly or effectively and make clients or customers frustrated or turn to competitors.
